Archives Division Fees


The following fees are collected for State Archives services:

(1)

Ready Reference Requests — no charge. This includes requests for information that can be answered by staff without leaving their workstation or by consulting basic reference tools such as finding aids, tracing binders, reference books or online resources.

(2)

Records Request — $5 in-state; $10 out-of-state. This includes copying charges, postage and supplies. It applies to one-page documents. A Records Request must provide an exact citation to a record (e.g., a citation from the death index, a record listed in the Oregon Historical Records Index or the Oregon Records Management Solution) in the custody of the Archives Division. Each page copied beyond the first page is an additional $0.75 charge.

Requests — not defined above will include research charges plus copying, supply and postage charges when incurred, as outlined in section (2) above. In addition, requests received from out-of-state will be charged an additional $5 fee per record.

(4)

Research Charges — $40 per hour, charged in 15-minute increments. There is a maximum of four hours research for any request.

(5)

Copies. Photocopies made by the customer — $0.25 per page. Photocopies or PDFs made by Archives Division staff — $0.75 per page.

(6)

Sound Recording Duplication:

(a)

Audio cassette tapes copied to cassette or digital format — $7 per cassette tape.

(b)

Reel to Reel tapes copied to digital format — $17 per side per reel to reel tape.

(c)

CD-ROM — $7.

(d)

Sawyer ROLS dictation tapes — $7 per tape plus $40 per hour fee to monitor the digitization of the tape, charged in 15-minute increments, with no time limit.

(7)

Certification — $5 per certification per record. The certification charge is in addition to the per record Records Request charge outlined in section (2) above.

(8)

High Resolution digital images of Historical Trademarks, oversized maps or photographs — $20 per image.

(9)

Reproduction by Outside Vendor — Vendor and travel costs, when applicable plus $10 handling fee.

(10)

The Secretary of State shall not refund fees paid in excess of the amount legally due the Division if the amount is $10 or less, unless a refund is requested in writing by the applicant or the applicant’s legal representative. Such requests must be made within three years of the date payment is received by the Division.
