Building Records
(1)
Building Board of Appeals Records — Minimum retention:(a)
Minutes, agendas, resolutions, indexes, and exhibits (not retained permanently elsewhere in city records), retain permanently;(b)
Audio or visual recordings, retain 1 year after minutes prepared and approved;(c)
All other records and exhibits not pertinent to minutes, retain 5 years.(2)
Building Code Violation Records — Minimum retention: 10 years after last action.(3)
Building Inspection Records — Minimum retention:(a)
Final inspections, retain for the life of the structure;(b)
All other inspections, retain 2 years.(4)
Building Plans, City Owned Structures — Minimum retention:(a)
If permit issued and structure completed, retain for the life of the structure;(b)
If no permit issued, retain 180 days;(c)
If permit issued, but structure not started, completed, or permit expired, retain 180 days after expiration date.(5)
Building Plans, Nonresidential — Minimum retention:(a)
If permit issued and structure completed, retain 10 years after substantial completion [as defined by ORS 12.135 (Action for damages from construction, alteration or repair of improvement to real property)(3)];(b)
If no permit issued, retain 180 days;(c)
If permit issued, but structure not started, completed, or permit expired, retain 180 days after expiration date.(6)
Building Plans, Residential — Minimum retention:(a)
If permit issued and structure completed, retain 2 years after substantial completion;(b)
If no permit issued, retain 180 days;(c)
If permit issued, but structure not started or permit has expired, retain 180 days after expiration date.(7)
Certificates of Occupancy — Minimum retention: Life of the structure.(8)
Unsafe Building Records — Minimum retention: 5 years after final action.
